**Location**:Singapore
**Overall Job Purpose**: To support the Head of Singapore Office to ensure all administration of the office runs smoothly.
**Key Responsibilities:
**OFFICE MANAGEMENT**
- Meeting and greeting visitors to the Singapore office
- Liaising with contractors, landlords, service providers, vendors etc with regard to office matters
- Administration of petty cash for the office
- Ensuring incoming post is distributed and outgoing post is sent in a timely manner
- Responsibility for all incoming calls and management of the telephone system
- Liaison with London office on relevant services e.g. Finance, HR, IT, Premises etc
- Development and maintenance of appropriate filing systems
- Ensuring stationery and pantry supplies are stocked
- Coordinate and organise marketing and social events
- Assist in the practical arrangements for onboarding processes for new hires and exit arrangements for leavers.
- Liaise with external vendor on payroll matters
**COMPLIANCE/ADMINISTRATIVE FUNCTIONS**
- Liaison with MAS, IRAS, MPA, MOM and other Govt bodies to ensure timely submission of and response to annual surveys.
- Assisting the CEO of Singapore with completion of surveys both annual and occasional.
- Liaison officer for MASNET and CORPPASS
- Liaising with the CEO of Singapore where individuals request to attend particular courses and following up with the MPA for reimbursement of under cluster fund programme
**PA DUTIES**
- Provide a full PA service to the CEO of Singapore, dealing with all correspondence
- Managing diaries for all Singapore office staff
- Booking travel for Singapore staff, liaising with London Office if applicable
- Recording expenses in line with Company procedures
**UNDERWRITING SUPPORT**
- Assisting in the production of underwriting documentation where required.
- Compiling Welcome Packs for New Members to the Singapore Office.
**Ad Hoc**
1. To carry out any other ad hoc duties.
**Person Specification**
- Must have previous office administration experience of at least 5 years
- Knowledge of MAS regulatory reporting requirements is an added advantage
- Good eye for detail and accuracy, organised and methodical
- Good knowledge of Excel, Word, Outlook and PowerPoint
- Strong communication and interpersonal skills - able to confidently meet and greet people
- Team Player
- Eligibility to work in Singapore
