
Office Manager

**Responsibilities**:
- Administration- Manage day-to-day office administrative operations
- Work closely and provide assistance to functional directors and managers in regional offices
- Review administration team resources and job assignments
- Implement Lawyers’ Manual, Staff Manual and other Firm-wide policies
- Produce office improvement plans
- Responsible for space planning, office build out and renovations
- Responsible for offices and workstations allocation plan
- Responsible for mentoring and supervision of legal secretaries
- Liaise with local government authorities for various registration and licensing annually
- Liaise with Ministry of Law Singapore and Law Society of Singapore to ensure proper order of registrations, filings and records
- Handle new joiner inductions
- Handle ACRA registrations
- Assist in the budgetary matters and cost controls for the Singapore Office
- Work closely with Business Services Manager to monitor suppliers and relevant contract management to ensure compliance with the Firm’s procurement policy
- Review vendors and suppliers management reports (such as spend data and savings) with Business Services Manager
- Work closely with the Firm’s Security Team for life safety and other security related activities
- Handle office insurance coverage related matters
- Plan and execute all office activities and social events
- Human Resources- Supervise Business Services Manager, legal assistants, legal secretaries and administrative staff
- Work closely with the Director of Administration, AP and regional HR team for recruitment, monitoring workflow, and human resources matters
- Responsible for the assignment of secretary to lawyer and manage the secretary-to-lawyer ratio
- Responsible for staff counselling, development and team motivation
- Conduct staff performance appraisals twice a year
- Work with the regional HR team in reviewing office benefit package and ensure market competitiveness
- Others- Other duties and ad-hoc projects as required
**Requirements**:
- Degree holder in management or equivalent
- Minimum 5 years of related management experience with comparable scope and responsibility, preferably in a law firm or other professional services environment
- Strong communication skills in both oral and written English
- Strong technical skills in human resources are important
- Strong leadership, people and project management skills
- Proactive, innovative and solutions oriented
- Excellent interpersonal skills, team-first orientation and strong collaboration skills
- Utmost integrity and high ethical standards
