Job Title: Executive Assistant
Location: CBD
Reports To: Chief Executive Officer (CEO)
Our Client are seeking a dynamic and highly organized Executive Assistant to support CEO. This role serves as a key liaison between the CEO and internal/external stakeholders, ensuring seamless communication, efficient scheduling, and the successful execution of strategic initiatives. The ideal candidate is detail-oriented, discreet, and capable of managing multiple priorities in a fast-paced environment.
Responsibilities:- Manage the CEO's calendar, including scheduling of meetings, appointments, and travel.
- Act as a gatekeeper—handling correspondence, inquiries, and information flow with discretion.
- Track progress and deliverables for strategic projects led by the CEO.
- Coordinate and lead special projects, providing research and analysis as needed.
- Ensure interdepartmental collaboration and alignment with CEO's priorities.
- Organize and attend meetings; take accurate minutes and follow up on action items.
- Represent the CEO in meetings or events when required.
- Prepare agendas, documentation, and ensure the CEO is fully briefed.
- Plan and execute internal and external events in support of the CEO's objectives.
- Manage complex travel arrangements, including flights, accommodations, and ground transport.
- Handle logistical support for meetings, events, and speaking engagements.
- Draft and review professional correspondence, emails, and presentations.
- Identify and implement process improvements to increase the efficiency of the CEO's office.
- Develop systems to track key metrics and ensure timely reporting.
- Handle all information with the highest level of confidentiality and professionalism.
Requirement:
- Bachelor's degree or Master in Business Administration, Management, or related field.
- Proven experience as an Executive Assistant, Chief of Staff, or similar role.
- High level of discretion and professional integrity.
- Proficient in Microsoft Office Suite and relevant productivity tools.
- Strong project management and coordination experience.
- Familiarity with strategic planning and business operations.
- Frequent business travel to multiple countries, based on business needs.
