Roles & Responsibilities

Executive, Academic Services provides efficient and effective administrative support including but not exclusive to teaching allocation and other related academic services and matters. This encompasses fostering and maintaining relationships within the organization and University, service providers and community stakeholders, both domestic and international.

Areas of Responsibilities

Teaching Allocation

  • Work collaboratively with Newcastle Australia IHE Program Coordinators to plan and develop teaching load and course allocation.
  • Manage and allocate teaching responsibilities with partners according to collaboration agreements.
  • Work closely with HR to provide information for contract preparation and facilitation.
  • Assist with data entry and maintain records of teaching allocation.
  • Liaise with sessional staff and partners on teaching appointments.
  • Obtain course outlines, textbook lists and course coordinator list from Colleges and disseminate information to partners.

Teaching Staff and Course Evaluation Database

  • Manage teaching staff and evaluation database.
  • Maintain database to create discipline specific staff list.
  • Maintain the workload record of full-time teaching faculty.
  • Assist with data entry, records and filing.
  • Create, upload and organize relevant teaching allocation information onto webserver.
  • Organise request and user access to Canvas site.
  • Prepare quarterly performance reports based on the course experience surveys (CES).
  • Organise and prepare commendatory letters for lecturers and letters of appreciation to guest speakers.

SSG Registration

  • Liaise with partners on SSG registration of programs and Teaching Staff.
  • Liaise with partners on SSG requirements, updates and audit requests.
  • Assist with data entry, records and filing.
  • Prepare SSG staff deployment letters.

Academic Support

  • Provide administrative support to full-time academic staff including organising meetings and events, and gathering information for quarterly reports (mid-term evaluations).

Project Management

  • Work collaboratively with Project Management team to assist in the PEI and EduTrust registration process including but not exclusive to preparation, collection, organisation of information for submission and liaison with internal and external stakeholders.
  • Undertake administrative tasks associated with short courses, seminars and webinars
  • Undertake other projects appropriate to the position as instructed by the Academic Director.

Other Administration

  • Assist in developing policies, standard operating procedures, guidelines.
  • Prepare minutes of the meeting if required.
  • Handle general enquiries (email, in person, over the phone).
  • Undertake any other duties relevant and appropriate to this level of appointment.

Requirement

  • Completion of a degree level qualification with subsequent relevant experience; or an equivalent combination of relevant experience and/or education/training.
  • Strong organisational skills including the ability to organise workflows to meet competing demands and adaptability to a range of workplace expectations and responsibilities.
  • Demonstrated experience in taking ownership and driving innovation, process improvement and contributing to overall corporate operations.
  • Highly developed interpersonal skills including the ability to participate in a team environment demonstrating clear communication and mutual respect.
  • Ability to embrace change in response to new initiatives, strategic direction or external requirements.
  • Ability to make sound decisions within your sphere of responsibility and take responsibility for delivering to plan and on time.
  • Demonstrated high level of computer literacy including office software skills in word processing, Excel spreadsheets, Databases and email applications.
  • Knowledge of, and experience in adhering to workplace policies and procedures in the areas of work health safety, equity, diversity and promoting a respectful workplace culture
