Summary
Assisting the Chief Executive Officer in administrative and service development work, handling of complex duties and sensitive information.

Ensuring smooth-running of the CEO's office, helping the CEO to conduct research on areas of growth for the organisation, working with both internal and external stakeholders.

Well-presented at all times as the Senior Executive will be dealing with both internal colleagues and external stakeholders on behalf of the Chief Executive Officer.


The Challenges:

  • Acting as the point of contact for the CEO between the staff and stakeholders
  • Organising meetings and booking of meeting rooms
  • Reminding the CEO of his meeting schedule the day before and ensuring that all presentations,
documents, etc. required for the meetings are checked and submitted to the CEO on time

  • Handling correspondence as directed by the CEO
  • Making travel arrangements and detailed travel itineraries
  • Taking of minutes (e.g. Board minutes, HOC minutes, etc.) and writing them up subsequently
  • Maintaining strict confidentiality on sensitive information e.g. staff's salaries, potential
projects, future staff movement, financial figures, etc.

  • Producing reports and presentations on behalf of CEO with the CEO's input
  • Maintaining the current filing system, and looking for ways to improve its organisation
  • Keeping abreast of the social services development in Singapore, including health trends and its
implications, from governmental and industry changes that may impact the organisation or of interest to the organisation in terms of the expansion of its services

  • Assisting the CEO with analytical work pertaining to certain areas where CEO envisions the organisation to grow; and helping to produce presentations and white papers to the Board and stakeholders on these areas
  • Working and collaborating with various stakeholders in any assignments or projects as
required by CEO

  • Any other duties as assigned

What it Takes:

  • Min. Diploma of any discipline from an accredited institution
  • At least 4 years' of relevant work experience in a similar capacity (Experience in a MNC large nonprofit organisations will be advantageous)
  • Might be required to do site visiting with the CEO
  • Ability to multitask and prioritise tasks
  • Time management and interpersonal skills
  • Proficient in English (Written and Spoken)
  • Welldeveloped organisational skills
  • Meticulous and able to execute professional discretion
  • Ability to network effectively with all stakeholders and partners (Experience in doing so will be an added advantage)
