About the role
We are looking for a highly organized and proactive Personal Assistant to support the CEO in managing day-to-day priorities and driving executive effectiveness. In this role, you will oversee a dynamic calendar, coordinate travel and meetings, and act as a trusted gatekeeper for communications and confidential matters. The ideal candidate thrives in fast-paced environments, anticipates needs before they arise, and brings professionalism, discretion, and adaptability to ensure the CEO can focus on strategic priorities.
Key Responsibilities
Executive Support & Time Management
- Manage and optimize the CEO's calendar, travel, and daily workflow to ensure alignment with strategic priorities.
- Anticipate and resolve scheduling conflicts, ensuring smooth coordination across teams and stakeholders.
- Implement systems that improve efficiency in meetings, operations, and task management.
Communication & Stakeholder Engagement
- Serve as the primary point of contact for the CEO, engaging with executives, board members, partners, and clients with professionalism.
- Prepare clear, high-quality communications, presentations, and reports that reflect the CEO's voice and vision.
- Manage access to the CEO's time by prioritizing requests and ensuring effective communication across the business.
Confidentiality & Integrity
- Handle sensitive company and personnel information with the utmost discretion.
- Demonstrate sound judgment, integrity, and confidentiality in all aspects of the role.
Problem-Solving & Initiative
- Anticipate needs, proactively address challenges, and take ownership of solutions.
- Identify and implement process improvements that enhance executive-level efficiency.
Professional Presence & Emotional Intelligence
- Represent the CEO and company culture with diplomacy, professionalism, and confidence.
- Maintain composure under pressure and navigate sensitive situations with tact and resilience.
Requirements
- Proven experience supporting C-level executives in fast-paced or complex organizations (3–5 years preferred).
- Exceptional organizational and prioritization skills, with proficiency in scheduling tools and productivity software (e.g., Google Workspace, Microsoft Office).
- Excellent verbal and written communication abilities, with strong attention to detail.
- High emotional intelligence, adaptability, and discretion in handling sensitive information.
- Bachelor's degree in Business, Administration, Communications, or a related field preferred.
