Job Summary

We are seeking an experienced Administrative Coordinator to join our team at LEADS SPECIALIST SERVICES PTE. LTD. As a key member of our administrative team, you will be responsible for ensuring the smooth operation of our office.

About the Role

This is a full-time position that requires strong organizational and communication skills. The ideal candidate will have experience in document control, administration, and office management.

Key Responsibilities
  • Document Management: Control and manage incoming and outgoing documents, maintaining accurate records and ensuring easy retrieval.
  • Inventory Management: Maintain a full inventory of documentation and ensure it is up-to-date.
  • Record-Keeping: Review and maintain the accuracy of records, updating them as necessary to ensure they are current.
  • Communication: Communicate with relevant personnel who need to submit documents.
  • Compliance: Coordinate with project teams to ensure compliance with all documentation requirements.
  • Administrative Tasks: Process administrative work related to government authorities, associations, the company's head office, customers, and visitors.
  • Event Planning: Organize events by coordinating with relevant departments for planning and implementation.
  • Training Coordination: Collect training requirements from relevant departments, prepare the company training plan, and supervise its implementation.
  • Daily and Weekly Activities: Collect and arrange daily and weekly activities for company management.
Requirements

To be successful in this role, you will need:

  • Strong organizational skills: Ability to prioritize tasks, manage multiple projects, and meet deadlines.
  • Excellent communication skills: Ability to communicate effectively with colleagues, managers, and external stakeholders.
  • Document control experience: Experience in managing documents, including creation, revision, and approval processes.
  • Microsoft Office proficiency: Proficiency in Microsoft Office applications, including Word, Excel, and Outlook.
  • Knowledge of industry standards: Familiarity with industry standards, such as ISO 9001.
Salary and Benefits

The salary for this position is estimated to be between $50,000 - $70,000 per annum, depending on experience. In addition to a competitive salary, we offer a range of benefits, including health insurance, retirement savings, and paid time off.
