Job Title: Administrative Coordinator

We are seeking a highly motivated and experienced Administrative Coordinator to join our team. In this role, you will provide administrative support to our executives and managers, ensuring seamless day-to-day operations and contributing to the success of our organization.

Key Responsibilities:
  • Coordinate training programs, workshops, and seminars for employees, ensuring smooth logistics and timely execution.
  • Track employee training records, guaranteeing compliance with mandatory training requirements.
  • Assist with insurance policy administration, serving as the primary point of contact for all insurance-related matters.
  • Liaise with insurance providers to maintain up-to-date policies, addressing any issues and ensuring efficient policy management.
  • Handle work passes, visas, and regulatory requirements for foreign candidates, ensuring compliance with relevant laws and regulations.
  • Select and establish service agreements with IT service providers for server hosting, software development, and data security.
  • Act as the primary point of contact with IT service providers, ensuring effective communication, service support, and issue resolution.
  • Implement and maintain ISO certification, ensuring compliance through documentation, internal audits, and training support.
  • Liaise with external auditors and departments to facilitate audits, address non-conformities, and report on ISO performance metrics to management.
  • Maintain accurate and organized filing systems for all documents, ensuring easy access and retrieval.
  • Prepare reports, presentations, and minutes as needed by management, demonstrating strong writing and communication skills.
  • Manage and maintain executive calendars, including scheduling appointments, meetings, and coordinating logistics.
Requirements:
  • Diploma or Bachelor's degree in Business Administration, Human Resources, Accounting, or a related field.
  • Proven experience in an administrative or coordinator role, preferably with exposure to L&D, insurance, or HR-related tasks.
  • Excellent organizational and multitasking skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Strong communication skills (both written and verbal), with the ability to generate professional reports, presentations, and minutes.
  • Ability to handle sensitive information with discretion and maintain confidentiality.
  • Strong problem-solving abilities and attention to detail, with a focus on quality and accuracy.
Estimated Salary: SGD $50,000 - $60,000 per annumBenefits:
