Job Summary:

We are looking for a detail-oriented and experienced HR Assistant to join our team, with a strong focus on payroll management. The successful candidate will be responsible for handling end-to-end payroll processes while also supporting broader HR functions such as employee records management, statutory compliance, and employee benefits.

Key Responsibilities:

1.    Manage and process bi-monthly / monthly payroll accurately and to submit to Senior HR Manager / Supervisor on time for checks.

Maintain employee records and ensure all payroll inputs (attendance, leaves, bonuses, deductions, etc.) are up to date. Maintain records of employee's data, leave & salary / pay details for the last 2 years in soft and hard copy.

Ensure compliance with statutory payroll requirements (CPF, Funds, income tax, Authorized Deductions by MOM, etc.).

Handle salary adjustments, overtime claims, and final settlements for resigned employees. Manage Exit Interviews and Cessation Letters.

Generate and review payroll reports; coordinate with finance for disbursements.

Prepare and submit monthly and annual statutory reports and filings.

Support audits and provide required documentation related to payroll. Check and ensure all payroll are paid according to employee's Signed Employment Contract and Key Employment Terms.

Assist with employee onboarding and exit formalities. Execute exit clearance procedures, including the collection of company property and updating of internal systems to reflect the employee's exit in alignment with employment laws, tripartite guidelines and advisories. Compile responses from employee exit interviews to gather feedback on the overall employee experience.

Manage employee benefits (medical, insurance, claims, etc.) and coordinate with service providers, Operation Managers and HR team.

10.  Respond to employee payroll-related queries promptly and professionally.

  1. Assist with Payroll Team on Team-related and/or individual tasks given by Management.

  2. Handle invoicing and payment matters with principals relating to workers' clocking of boxes & salary matters.

  3. Perform any other duties as instructed by HR / Finance Manager.

Requirements:

Diploma/Degree in Human Resource Management, Business Administration, Finance, or a related field.

Minimum 2–3 years of experience in payroll processing and HR administration.

Strong knowledge of payroll software (e.g. BIPO) and Microsoft Word, Excel and Outlook.

Familiarity with local labor Employment Act laws and statutory regulations. Legal compliance knowledge (e.g., PDPA, MOM guidelines)

High level of accuracy, confidentiality, and attention to detail.

Good interpersonal and communication skills.

Ability to work independently and meet deadlines.

Excellent organizational and time management skills

Constructive feedback and working cooperatively with HR Team, contributing to ideas and solutions when challenges arise.

10.  Promoting an inclusive and positive team environment.

11.  Accountability in all tasks, just as all deductions must be supported with proper signed documentation, and every pay component must be supported by signed employment contract, key employment terms and annex A.

12.  Address compensation queries - Interpersonal and communication skills, problem-solving skills, policy knowledge and escalation procedure

Preferred Qualifications:

Experience in HR systems or HRIS platforms e.g. BIPO

The role of a Human Resource Assistant is essential in helping an organization build a strong and capable workforce. It requires attention to detail, effective communication, and the ability to manage multiple tasks simultaneously while maintaining a positive employee experience. There will be other administrative duties as so required by Admin, Finance, and/or HR Manager.
