Service Administration & Scheduling
- Plan and coordinate master schedules for preventive maintenance, daily operations, and ad-hoc jobs.
- Ensure fulfilment of scheduled commitments for the Service Team.
- Monitor and follow up on maintenance and ad-hoc service jobs through to final closure (e-FSR).
- Respond to service calls during office hours and record reported incidents in WhatsApp and D365 systems.
Procurement & Quotation Management
- Generate and manage purchase quotations, ensuring compliance with company requirements.
- Administer the full procurement process, including tracking FE, BA sets and EMA Licenses, vendor quotations, and invoice/delivery order verification.
- Ensure timely preparation and submission of customer and vendor quotations.
System & Data Administration
- Manage operations in D365, including activating customer accounts, maintaining system functionality, and resolving system errors.
- Convert Sales Quotes to Sales Orders in BC based on customer order confirmations.
- Meet delivery schedules for data uploading as prescribed by clients and internal processes.
Inventory & Document Management
- Administer inventory management processes to ensure accuracy and efficiency.
- Assist in preparation and submission of PTW, RA, and MOS documents.
- Maintain accurate records and implement best practices to streamline workflows.
Monitoring & Reporting
- Monitor mandatory activities and ensure tasks are delivered within stipulated timelines and milestones.
- Attend monthly meetings and take efficient minutes.
- Provide regular updates on procurement, scheduling, and service administration activities.
Other Responsibilities
- Support any additional duties as assigned by the Manager.
Apply basic M&E knowledge to enhance service administration tasks (advantageous).
