• Tentative Start Date: Jan/Feb 26, 12-Month Contract (subjected to renewal)
• Working Hours: Mondays to Fridays, office hours
Key Responsibilities
Office Administration
- Keep the office running smoothly and clean
- Manage pantry, stationery, and equipment supplies
- Work with vendors for cleaning, maintenance, and courier services
- Handle access cards, seating, and equipment allocation
- Support document prep, data entry, and filing
- Apply admin policies consistently across teams
- Ensure stakeholder satisfaction and policy compliance
Compliance & Documentation
- Maintain organized records of contracts, policies, and admin documents
- Prepare documentation for audits and compliance checks
- Help update SOPs and workflows
- Protect confidential information per company guidelines
- Ensure documentation is accurate and up to date
Meetings & Events
- Set up rooms, equipment, catering, and materials for meetings
- Write meeting reports when needed
- Help plan and run corporate events and staff activities
- Arrange travel and accommodation for staff and visitors
- Provide support during and after events
Executive Support
- Manage executive calendars and travel plans
- Prepare and review reports, presentations, and correspondence
- Act as a communication link between executives and others
- Prioritize and respond to incoming messages
Job Requirements
- Diploma or Bachelor's degree in Business Administration, Office Management, or a related field.
- At least 2-5 years of relevant experience in administrative or office management
- Proficient in Microsoft Office Suite & AI (preferably)
