The Personal Assistant to the CEO plays a crucial role in providing high-level administrative and executive support to the Chief Executive Officer. This position involves a blend of administrative tasks, organizational coordination, communication management, and project assistance. The Personal Assistant acts as a trusted confidant and liaison between the CEO and various stakeholders, ensuring the smooth functioning of the CEO's office and contributing to the overall efficiency of the organization.
**4. **Job Responsibilities:
- **Calendar Management**:
1. Efficiently manage the CEO's calendar, scheduling appointments, meetings, and events while prioritizing and optimizing time.
2. Coordinate and schedule internal and external meetings, ensuring all parties are informed and prepared.
**Communication and Correspondence**:
2. Draft and prepare correspondence, reports, and presentations on behalf of the CEO.
3. Maintain clear and professional communication with internal teams, clients, partners, and stakeholders.
**Travel Coordination**:
1. Plan and organize complex travel itineraries, including flights, accommodations, transportation, and other logistics.
2. Prepare travel agendas, briefing documents, and relevant information for the CEO's trips.
**Meeting Support**:
1. Attend meetings alongside the CEO, take detailed minutes, and follow up on action items and deliverables.
2. Prepare materials and presentations for meetings, ensuring all necessary documentation is provided.
**Project Assistance**:
1. Support the CEO in various projects, conducting research, gathering data, and providing input as needed.
2. Assist in the execution of strategic initiatives, ensuring deadlines are met and goals are achieved.
**Confidentiality and Discretion**:
1. Handle sensitive and confidential information with the utmost discretion and professionalism.
2. Maintain a high level of integrity and ethical standards in all interactions and responsibilities.
**Office Management**:
1. Manage and prioritize incoming tasks, ensuring the CEO's time is optimized and focused on critical matters.
2. Coordinate and liaise with other members of the executive team and departments to facilitate efficient operations.
**Miscellaneous Tasks**:
1. Handle ad hoc requests and tasks as directed by the CEO.
2. Maintain an organized filing system and track important documents.
**5. **Job Requirements:**
- Bilingual in English and Mandarin because you have to communicate a lot with Chinese speaking colleague and clients
- Bachelor's degree in business administration, management, or a related field (preferred)
- Open to fresh graduates
- Excellent communication, interpersonal, organisational and presentation skills
- Ability to multi-task within a fast-paced environment, strong attention to detail, team player
- Detailed
- oriented and goal-oriented
- Exceptional organizational and time management skills.
- Proficiency to use MS Office
- Have basic knowledge with blockchain technology/cryptocurrency/ fintech/web 3.0 will be an added advantage
