Job Description:

The role of an Administrative Office Coordinator is pivotal in ensuring the smooth operation of our front desk. This position involves managing office activities, coordinating communications, and providing administrative support to enhance office efficiency.

This includes greeting visitors, handling switchboard calls, maintaining visitor logs, and issuing visitor passes as necessary. Additionally, the incumbent will be responsible for managing incoming and outgoing mail, packages, and deliveries, scheduling appointments, and providing administrative support such as filing, data entry, and document preparation.

Required Skills and Qualifications:
  • Proven experience in a customer-facing role or similar administrative position
  • Pleasant personality with excellent communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Minimum GCE 'O' level, 1-2 years of relevant working experience
Key Responsibilities:
  1. Greet and welcome visitors in a friendly and professional manner
  2. Professional handling of switchboard calls and visitor management
  3. Maintain visitor logs and issue visitor passes as necessary
  4. Manage incoming and outgoing mail, packages, and deliveries
  5. Schedule and coordinate appointments
  6. Provide administrative support such as filing, data entry, and document preparation
