Office Support Specialist
The primary objective of this role is to ensure the smooth functioning of our office operations by managing various tasks and responsibilities.
This involves coordinating administrative activities, ensuring efficient workflow, and maintaining a high level of service quality.
- Main Responsibilities:
- Manage pantry supplies, beverages, and other consumables to ensure seamless office operations.
- Track and monitor office equipment maintenance contacts, coordinate renewals, and communicate with vendors.
- Supervise contractors for facility-related tasks such as plant watering, deliveries, and general upkeep.
- Serve as the primary point of contact for internal office fault reporting, liaising with relevant contractors to resolve issues promptly.
- Coordinate international and local courier services, ensuring timely dispatch and receipt of packages.
- Maintain and regularly update office contact lists for accurate communication channels.
- Manage the opening, sorting, and distribution of mail and letters from the office letterbox.
- Coordinate petrol/charging card issuance and cancellation for company cars, maintaining accurate records.
- Liaise with stakeholders regarding common office use items and assist in creating Purchase Requisitions (PRs).
Requirements:
- Minimum GCE O level qualification with at least three years' experience in administration duties.
