Position Overview:

We are seeking a highly organized and proactive individual to take on the role of Executive Assistant and Administrative Coordinator. This position is crucial in ensuring the smooth operation of executive functions and general administrative tasks.

Key Responsibilities:

  • Manage the CEO's calendar, including scheduling appointments and coordinating travel arrangements.
  • Facilitate communication and information flow between the CEO and various departments.
  • Handle incoming calls, emails, and greet visitors with professionalism.
  • Perform general administrative duties, including document management, office maintenance, and expense tracking.
  • Oversee public relations activities, including website updates and media communications.
  • Support the promotion of new business initiatives through effective information gathering and coordination.

Qualifications:

  • Experience in a secretarial or administrative role is preferred.
  • Willingness to travel for business purposes.
  • Strong multitasking abilities and proficiency in Microsoft Office and related software.
  • Fluent in Japanese to communicate effectively with stakeholders.
  • Advanced English skills for professional correspondence.
  • A proactive approach to responsibilities with a keen attention to detail.
