- Administrative Functions:
- Oversee daily administrative operations, including front desk responsibilities, managing communications, and maintaining documentation with a high degree of professionalism.
- Organize meetings, appointments, and travel logistics for the executive team, including detailed itineraries and expense management.
- Draft and format reports, documents, and presentations as necessary for project teams.
- Office Management:
- Monitor office supply levels, procure necessary items, and manage vendor relationships to optimize costs.
- Ensure a well-maintained office environment, addressing any facility-related concerns promptly.
- Coordinate maintenance services and communicate with building management and external contractors for repairs.
- Assist in organizing company events, meetings, and team-building initiatives.
- Support IT requirements and office equipment functionality.
- Support for Executive Leadership:
- Deliver high-level administrative assistance to senior executives, including managing calendars, coordinating meetings, and preparing necessary materials.
- Handle confidential information with the highest level of discretion.
- Compile detailed reports, presentations, and other documents for executive discussions.
- Facilitate communication and collaboration across departments for company-wide projects.
- Demonstrated experience as an Administrative Executive or Executive Assistant.
- Exceptional organizational and time management abilities, with a knack for multitasking and prioritizing tasks effectively.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work autonomously as well as collaboratively within a team.
- High standards of professionalism, integrity, and confidentiality.
- Excellent problem-solving capabilities and meticulous attention to detail.
