Job Summary

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at Refinery Media. As a key member of our production company, you will provide administrative support to our senior leaders, manage office operations, and ensure the smooth day-to-day functioning of our office.

Key Responsibilities
  • Provide administrative support to senior leaders, including email correspondence, generating and distributing memos, letters, spreadsheets, forms, and faxes
  • Manage office operations, including maintaining an organized and clean office environment, managing a busy multiline phone system, and coordinating internal and external resources
  • Plan, organize, and schedule company meetings, both in-office and remotely
  • Coordinate domestic and international travel arrangements for employees
  • Maintain filing systems, contact databases, employee lists, and inventory
  • Order and oversee office supplies and food deliveries for group meetings
  • Develop and implement internal processes and filing systems
Requirements
  • At least 2 years of relevant working experience
  • Fluent in written and spoken English
  • Proficient in Accounting Software XERO and Microsoft Excel
  • Strong time-management skills, multitasking ability, and attention to detail
  • Able to work under pressure and maintain a positive attitude
Preferred Qualifications
  • Experience managing budgets and expenses
  • Ability to use Microsoft Office, Google Workspace, and other software
