Job Summary
We are looking for a highly organized and detail-oriented Administrative Executive with strong interpersonal skills to support our Singapore office. In this role, you will be responsible for compiling accurate and timely staff development reports for Head Office while assisting the Admin Manager in overseeing office administrative operations. You will play a key role in ensuring the smooth functioning of the office, fostering a positive work environment, and supporting staff needs.
Job Responsibilities
- Compile and maintain up-to-date staff data and statistical reports for submission to Head Office.
- Prepare and coordinate notification materials and required submissions to Head Office.
- Oversee property management, including liaising with building management on office facilities and maintenance matters.
- Manage office renovation projects and ensure the proper upkeep of office premises.
- Oversee expatriate management, including: Travel arrangements,Tenancy agreements, Accommodations,
- Settling-in arrangements
- Handle travel arrangements for the Singapore office, including flight and accommodation bookings, visa applications, and transportation coordination.
- Maintain and manage daily staff meal records.
- Organize corporate team-building events and employee engagement activities.
- Serve as the primary point of contact for new hires during the onboarding process, including:
- Coordinating transport arrangements, Setting up workstations, registering biometric data for meal records
- Manage the purchasing of pantry and stationery items to ensure adequate supplies for employees.
- Manage the admin department invoices and process them into the Company AP system.
- Provide administrative support for internal events, meetings, and company functions.
- Assist in other ad-hoc administrative tasks as assigned.
Job Requirements
- GCE 'A' Level or Diploma in Business Administration or a related field.
- Minimum of 8 years of relevant administrative experience.
- Strong written and verbal communication skills in both English and Mandarin to liaise effectively with stakeholders in China.
- Proficiency in Microsoft Office (Word, Excel, and PowerPoint).
- Highly detail-oriented with excellent organizational and time-management skills.
- A proactive and resourceful team player with strong interpersonal skills.
