Roles & Responsibilities

  1. Office & Cleanliness: Monitor office cleanliness and pantry organization, ensure safety and mobile use policies are followed.
  2. Admin Duties: Handle employee leave, process payroll, and manage employee records (e.g. tardiness, bonuses, tax returns).
  3. Communication: Open and distribute mail, orward important emails to the Director, and monitor customer complaints.
  4. Employee Engagement: Engage employees, check morale, and monitor work status.
  5. Payroll & Benefits: Process monthly payroll for all staff levels, handle leave and medical claims, and manage insurance renewals.
  6. Government Compliance: Monitor government websites for updates and ensure work passes and CPF submissions are on time.
  7. Records & Reports: Maintain filing system, prepare leave reports, annual salary reviews, and payroll summaries etc.
  8. Event Coordination: Organize company events and manage staff recognition.
  9. Procurement & Inventory: Monitor stock (e.g., uniforms, stationery), and handle purchasing and supplier discounts.
  10. Insurance & Claims: Renew corporate and medical insurance, process salary adjustments, and apply for subsidies.
  11. Employee Support: Administer work pass renewals, address grievances, and assist with repatriation.
  12. Compliance & Audits: Ensure accurate record-keeping, handle MOM surveys, and manage bi-annual stock checks.
  13. Telephone & Payment Management: Update office telephone list, check A/C Assistant's payment and uploads into IDEAL and ensure document compilation for outsourced A/C.
  14. Additional Responsibilities: Assist the Purchaser and Account Assistant when on leave, update pricing emails, and liaise with suppliers for discounts or stock issues.
  15. Training: To train incoming Administrative, Purchaser and Account Assistant.

Report directly to Director and Assistant Director.
