The Singapore Aquatics (SAQ) is the governing body for the aquatic sports of swimming, water polo, diving and artistic swimming in Singapore as a member of the World Aquatics. SAQ is charged with the development and education of aquatic players, officials, coaches and volunteers throughout Singapore and with the conduct of competitions and programs for all levels of participation.

EVENT OPERATIONS EXECUTIVE / MANAGER (WATER POLO)
A. PRIMARY JOB PURPOSE
Report to the Operations Director in support of the Vice President of the respective disciplines. To ensure that the administration and operations for international and local events and programmes are efficient and provides the participants, athletes and coaches with the best environment for them to achieve their desired result within the guidelines determined by Singapore Aquatics (SAQ)
The EVENT OPERATIONS EXECUTIVE / MANAGER (WATER POLO) will be responsible for overseeing and coordinating water polo events, ensuring the smooth execution of competitions and tournaments. This position requires understanding of water polo rules, excellent organizational skills, and the ability to manage diverse teams effectively. The EVENT OPERATIONS EXECUTIVE / MANAGER (WATER POLO) will collaborate with various stakeholders to deliver high-quality events and enhance the overall experience for participants and spectators.
JOB RESPONSIBILITIES
1. Administration
· Monitor expenses and ensure compliance (audit governance) with policies of the Association and Sports Singapore.
· Develop and manage event budgets, ensuring cost-effectiveness and financial sustainability.
· Administer the registration process for all Water Polo events, programs, and projects.
· Administer and support the membership database for all SAQ (Water Polo) registered athletes.
2. Organisation of Events, Competitions and Programmes
· Plan, organize, and coordinate water polo leagues and competitions.
· Managing all aspects of event planning, meeting deadlines and budget demands. This will include the pre-event preparations and post-event closing activities.
· Coordinate with internal staff, venue management, vendors and others to establish the requirements and serve as liaison to various stakeholders throughout the planning process for all water polo and programs. Oversee the setup, maintenance, and teardown of event infrastructure.
· Provide administrative support and execute all operations aspects for all water polo events and programs.
· Manage the volunteer management framework to recruit, train, and manage event staff, referees, and volunteers.
· Implement safety protocols and emergency procedures to ensure the well-being of participants and attendees.
· Analyse registration statistics and compile accurate reports whenever needed.
· Conduct surveys with event participants and other stakeholders as appropriate.
· Perform ad hoc duties when assigned
3. Effective Relationship and Communication with SAQ's Partners and Stakeholders
· Perform customer service and handling enquiries from the affiliates (teams, coaches and participants), and stakeholders on SAQ's Water Polo competitions.
· Work closely with the SAQ Communications team to make sure events and activities are promoted across all relevant channels for increased participation.
· Assist in maintaining communication channels with internal and external stakeholders regarding local water polo competition matters, updates and initiatives.
4. Marketing and Communications
· Work with the Marketing team to develop appropriate promotional materials, using brand guidelines to generate awareness and interest
· Promote the event through various marketing channels to attract participants and spectators.
5. Professional Skills, Key Qualities and Other Requirements
- Diploma / Degree, preferably in Business Administration, Physical Education, Sports Management or any sports-related fields.
- Fresh graduates welcome to apply.
- Proficient in MS-Office applications.
- A dynamic and mature person with a strong passion for sports.
- Possess good interpersonal communications and writing skill.
- Confident, reliable and able to front events independently.
- Possess initiative with the ability to prioritize, multi-task and work well under pressure to meet agreed schedules/deadlines
- A can-do attitude with focus on achieving results
- Excellent organizational skills, time management, and meticulous attention to detail
- Strong and resourceful planner
- Flexible approach to work, and the ability to be agile in the requirements of planning and delivering events
- Passionate event planner with at least 1 to 2 years of event management experience is an added advantage
- Ability to work flexible hours, including weekends.
