School of Physical and Mathematical Sciences seek to hire theposition of Senior Assistant Manager, MScPrograms.

This position reports directly to theManager, Student Administration. The incumbent is responsible foroverseeing and managing administrative and operational mattersrelated to MSc graduate programmes within the School of Physicaland Mathematical Sciences (SPMS). This role requires timelyassistance and support in delivery of SPMS postgraduates' academicservices, events and any administrative duties as needed by theschool.

KeyResponsibilities:
  • Prepareand issue appointment letters to Program Directors, Faculty,Part-Time Lecturers.
  • Oversee the hiring andcontract renewal processes for part timelecturers
  • Manage and approve part timelecturers' claim submission, including both paper and Workdaysubmissions.
  • Develop and oversee the budget forMSc Programs in collaboration with Program Directors and Asst Chair(MSc Programmes).
  • Monitor and manageexpenditures to ensure they align with the allocatedbudget.
  • Coordinate examination logistics,scheduling and decentralized exams.
  • Preparestudent attendance lists and invigilatorreports.
  • Address inquiries and collaborate withrelevant stakeholders to resolve MSc Programmes related issues andenhance the processes.
  • Plan and lead the Boardof Examiners' (BOE) Meeting.
  • Manage exam markentry and tabulation of exam marks, including collecting mark listfrom Course Instructors and ensuringaccuracy.
  • Review Audit Trail Report for markadjustments.
  • Provide support to ProgramDirectors on matters related to the Fleximasters in FinancialTechnology.
  • Coordinate with PACE to manage theadministration of the program.
  • Coordinate withPACE regarding SkillsFuture claims forstudents.
  • Support students in preparing andsubmitting the necessary documentation required for SkillsFutureclaims.
  • Facilitate the approval process for newMSc programs.
  • Assist in the operationalmanagement and implementation of newly approved MScprograms.


Requirements:
  • Bachelor'sdegree in any discipline, with experience preferably in academicsettings and a proven track of excellentperformance.
  • Proficiency in Microsoft Officeand other relevant softwareapplications.
  • Excellent communication skills,both written and verbal, with the ability to interactprofessionally with stakeholders at alllevels.
  • Experience organizing and facilitatingmeetings or events, including agenda development and logisticalcoordination.
  • Ability to work independently,prioritize tasks, and meet deadlines in a fast-pacedenvironment.
  • Possess strong problem solving andanalytical skills
  • Familiarity with budgetdevelopment and financial managementprinciples.
  • Familiarity with higher educationpolicies and regulations is anadvantage.
