Executive Assistant, MSc Programmes

NTU (Nanyang Technology University) is seeking a highly skilled and experienced Executive Assistant to support the MSc Programmes in its Main Office - Human Resources department. The successful candidate will be responsible for providing administrative support to the programmes, including communication, media management, planning, and organizing events/marketing events.

Key Responsibilities:
  • Lead in organizing events for MSc programmes, including orientation, convocation, end of programme dinner, student gatherings, etc.
  • Organize events logistics, including booking venues and catering services.
  • Raise Purchase Requests (PR) for catering services/events services via Ariba system.

In addition to event organization, the successful candidate will also be responsible for Programme Operations: Outreach/Marketing Activities, which include preparing Invitation to Quote (ITQ) for outreach/marketing related activities, preparing workshop/seminar announcements for posting in SPMS, booking venues for information sessions and seminars, drafting and organizing social media content to promote MSc programmes, videos, and media coverage on Facebook, LinkedIn, and Instagram, contributing to social media quantitative and qualitative analytics reporting, creating and coordinating content for social media campaigns and observances with assigned marketing vendor, monitoring and researching influencers, trending topics, and tools, sourcing content within NTU and via web, general social media planning, research, reporting, and coordination as assigned.

Required Skills and Qualifications:
  • Bachelor's degree in marketing, advertising, or communication from a recognized University.
  • Marketing experience preferably in the Higher Education sector.
  • Proficient in computer skills, including MS Office, and adept in Adobe Photoshop, Illustrator, Premiere Pro, and/or After Effects.
  • Meticulous, people-oriented, customer-focused, and a dedicated team player.
  • Strong organizational, time management, communication, and interpersonal skills.
  • Proactive problem solver and adaptable to dynamic environments.
  • Ability to multitask and prioritize with competing deadlines.
  • Ability to work in a highly collaborative and fast-paced environment.
  • Take initiative and drive projects to successful completion.
  • Ability to take feedback and direction with strong attention to detail.
  • Excellent written and verbal communication for interactions with diverse stakeholders.

The estimated salary for this position is approximately $45,000 per annum, based on the location and industry standards.
