This advertisement is recruiting one each for the position of Receptionist & Office Assistant.

If successfully selected, you will be seconded to MOE primary school located in Jurong West.

Contract Period (For both personnel) : 01 June 2025 to 31 May 2026 (or adjusted according to the actual start date after the issuance of LOA).

Personnel (1) - Receptionist

Personnel to be deployed at the following hours :

  • Mondays, Tuesdays, Wednesdays & Thursdays: 8:30am to 6:00pm, inclusive of 1 hr lunch break
  • Fridays: 9:00am to 6:00pm, inclusive of 1 hr lunch break.
  • Service not required on Saturdays, Sundays and qazetted public holidays.

Personnel (2) - Office Assistant

Personnel to be deployed at the following hours :

  • Mondays, Tuesdays, Wednesdays & Thursdays: 7:00am to 4:30pm, inclusive of 1 hr lunch break
  • Fridays: 7:00am to 4:00pm, inclusive of 1 hr lunch break.
  • Service not required on Saturdays, Sundays and qazetted public holidays.

Note : Working hours may be changed based on school needs. However, the number of working hours per week will remain the same i.e 42 hours per week.

The personnel shall be competent to perform the following:

Personnel (1) - Receptionist

  1. Manage General Office counter : (i) Attend to walk-in and phone calls, (ii) Address stakhoulders'queries, (iii) Provide basic first aid to pupils with minor injuries
  2. Manage incoming and outgoing mail
  3. Track and replenish first-aid items in General Office
  4. Maintain general cleanliness and tidiness of the reception area
  5. Perform ad-hoc administrative tasks as assigned by School Leaders or Key Personnel

Personnel (2) - Office Assistant

  1. Manage office supplies and issue stationery to staff
  2. Perform simple administrative work such as filing, sorting, photocopying and shredding documents
  3. Maintain general cleanliness and tidiness of the office storeroom and immediate work area
  4. Count and pack resources for distribution to staff and students
  5. Coordinate deliveries e.g. direct deliveries to designated venues, contact staff in-charge to collect deliveries etc
  6. Cover the General Office counter in the absence of the Receptionist and when additional support is required during recess and dismissal time
  7. Track and replenish first-aid items in Special Rooms
  8. Perform ad-hoc administrative tasks as assigned by the School Leader or Key Personnel

Note: Both deployed personnel are required to sign an undertaking to safeguard official information.

Both personnel shall minimally have the following qualifications, skills and experience:

Qualifications:

  • Completed secondary school education.
  • Those who did not complete secondary school education, but with relevant working experience may also be considered.

Skills:

  • Good interpersonal and communication skills
  • Comfortable with working in a fast-paced environment
  • Resourceful and able to prioritise work to meet deadlines
  • Takes initiative and is able to work under minimal supervision
  • Good team player good organisation skills
  • Basic knowledge of Microsoft Word and Excel

Experience :

  • Preferably at least 3 years experience in working in a primary school as a receptionist and Office Assistant respectively.
