Admin & HR Assistant

JOB SUMMARY
The HR and Admin Assistant reports to the HR Manager and plays a key role in supporting office administrative functions while assisting with HR activities across the group of companies. This position ensures smooth daily operations through effective administrative management and organizational support.
KEY RESPONSIBILITIES
HR Administration
- Assist in work pass related matters including new applications, renewals and cancellations
- Update and maintain all training records, including evaluating training effectiveness through training evaluation forms
- Monitor and update all foreign workers' work permits' statuses.
- Update and verify workers' overtime hours and liaise with site supervisors on discrepancies
- Liaise with course providers on required training courses for work permit holders
- Administer medical benefits and submission of claims for insurance purposes
Office Administration
- Manage and oversee all day-to-day general administrative duties (e.g. ordering of company tees, PPEs, office stationery, pantry supplies etc.)
- Handle general phone enquiries
- Upkeep and maintain copier machines
- Handle general mail collection, distribution and arrange for courier services when necessary
- Maintain the professional appearance of meeting rooms and general offices
- Coordinate guest visitations and prepare beverages for meetings (if necessary)
Others
- Support facility management matters such as office cleaning services and liaise with external vendors
- Any other tasks as may be assigned from time to time
JOB REQUIREMENTS
- Min GCE 'O' Levels / Professional Certification / Diploma in Business Administration / HRM or equivalent
- 2 to 3 years of relevant admin/HR experience, preferably in construction industry
- Preferably with hands-on experience using Info-Tech software
- Good interpersonal and communication skills
- Independent and pro-active with the ability to work with minimal supervision
