JOB SUMMARY
This dual-role position combines the responsibilities of an Office Manager and a Team Administrative Assistant who will report directly into the Managing Director. The successful candidate will ensure the efficient running of the office while providing high-level executive support to the Managing Director. This position is ideal for a highly organised, detail-oriented professional who thrives in a dynamic environment and excels in multitasking.
The role requires availability for on-site work every Monday (8 hours) and Thursday (4 hours), with the remaining hours flexible, ensuring a minimum of 20 hours per week.
KEY RESPONSIBILITIES
Office Management
- Oversee daily office operations, ensuring a clean, safe, and organised work environment
- Manage office supplies, inventory, and liaise with vendors for procurement and maintenance. This includes end-to-end merchandise inventory management.
- Coordinate office layouts, seating arrangements, and workspace allocations
- Implement and maintain efficient administrative systems and processes
- Ensure compliance with health and safety regulations, licences, permits, and certifications
Administrative Support
- Manage correspondence, including emails, calls, and mail, ensuring timely responses
- Organise and maintain digital and physical filing systems
- Coordinate team meetings and office-wide initiatives
Executive Support to the Managing Director
- Act as a trusted partner to the Managing Director, providing proactive and confidential administrative support
- Manage the Managing Director’s calendar, including scheduling meetings, appointments, and travel arrangements
- Prepare meeting agendas, minutes, and follow-up action items
- Screen and prioritise incoming communications, including emails and calls, and respond on behalf of the Managing Director when appropriate
- Handle personal administrative tasks for the Managing Director as needed
Human Resource Support
- Assist with employee onboarding processes, including workspace setup, visa applications and introductions
Financial Oversight
- Process invoices, payments, and expense reports in coordination with the finance team
- Ensure financial documentation aligns with company policies and procedures
Project Support
- Maintain oversight of all ongoing projects
- Maintaining overview of manpower movement and organising all associated travel arrangements
- Additional operational support for any events on-ground in Singapore
