JOB SUMMARY
This dual-role position combines the responsibilities of an
Office Manager
and a
Team Administrative Assistant
who will report directly into the Managing Director. The successful candidate will ensure the efficient running of the office while providing high-level executive support to the Managing Director. This position is ideal for a highly organised, detail-oriented professional who thrives in a dynamic environment and excels in multitasking.
The role requires availability for on-site work every Monday (8 hours) and Thursday (4 hours), with the remaining hours flexible, ensuring a minimum of 20 hours per week.
KEY RESPONSIBILITIES
Office Management
Oversee daily office operations, ensuring a clean, safe, and organised work environment
Manage office supplies, inventory, and liaise with vendors for procurement and maintenance. This includes end-to-end merchandise inventory management.
Coordinate office layouts, seating arrangements, and workspace allocations
Implement and maintain efficient administrative systems and processes
Ensure compliance with health and safety regulations, licences, permits, and certifications
Administrative Support
Manage correspondence, including emails, calls, and mail, ensuring timely responses
Organise and maintain digital and physical filing systems
Coordinate team meetings and office-wide initiatives
Executive Support to the Managing Director
Act as a trusted partner to the Managing Director, providing proactive and confidential administrative support
Manage the Managing Director’s calendar, including scheduling meetings, appointments, and travel arrangements
Prepare meeting agendas, minutes, and follow-up action items
Screen and prioritise incoming communications, including emails and calls, and respond on behalf of the Managing Director when appropriate
Handle personal administrative tasks for the Managing Director as needed
Human Resource Support
Assist with employee onboarding processes, including workspace setup, visa applications and introductions
Financial Oversight
Process invoices, payments, and expense reports in coordination with the finance team
Ensure financial documentation aligns with company policies and procedures
Project Support
Maintain oversight of all ongoing projects
Maintain overview of manpower movement and organise all associated travel arrangements
Provide additional operational support for any events on-ground in Singapore
