Roles & Responsibilities

General Purpose Of The Job:
To be responsible for handling of all project documentations, project data, assist project team members in monitoring projects deadlines as well as in liaising with external customers including client & consultants. To complete tasks timely and with good quality.

Responsibilities:

Take direction from Project Architect/Associates/Studio Lead/Studio Co-Lead in preparing project documents. Ensure accuracy, grammatical correctness and quality presentation.
Handle incoming & outgoing documents expeditiously and efficiency - facilitating flow of communication to project team members based on Quality Plan.
Ensure documents traceability - in filing and storage process
Be familiar and keep updated on submission procedures & requirements. Prepare authorities submission forms accurately and compile requisite documents; Obtain input from project team members ans external perties as necessary.
Assist in the monitoring of authorities and contractual deadlines
Assist in the arranging of project-related meetings, collection of documents and liaising with relevant parties internally & externally.
Assist Architects/Studio Leans/Studio Co_lead in handling non-project-specific documentation eg.feasibility studies.
EOI/tender submission. Preparation compiling of submission documents, coordinating and liaising with Consultants and Sub-Consultants etc.
Cover duties for fellow administrative staff in their absence,by self arrangement or as directive by Management.
Perform duties in receptionist absence
Perform other admin duties as required or as assigned.
Project good public relations always - to internal (Colleagues) and external customers
Expand scope whenever possible subject to capability and availability of time. Flexibility is a positive attribute.
