On behalf of one of its clients, the French Chamber of Commerce is looking for a **Personal Assistant
Our client is an international law firm operating in corporate law, intellectual property and labor law in various countries.
The main tasks are:
- Following up daily administrative tasks such as trips planning strategically, flights/hotel booking, preparing schedule for business trip, updating profile/registrations with different associations/bar associations,
- Preparing and filling files for and on behalf of the MD, documents and correspondence for MD’s meetings/briefing her on key info prior to meetings/calls;
- Monthly firm invoicing and preparing daily timesheet of the Managing Partner ;
- Saving all important documents and correspondence on the Company's database (NetDoc), ensuring proper and accurate filing per association/topic;
- Initiating strategies to increase sales via different tools (partnerships, website, brochure, social media, networking with different organisations, dealing with SEO consultants, monitoring sales/results, speaking engagements, articles, newsletters, PR including relationship with journalists, etc);
- Liaising with various persons/entities on behalf of the MD to organize meetings and events; assisting in business development activities and attending networking events from time to time and as requested by the management;
- Implementing and improving IT/management systems such as calendar/filing system/documentation process/website and marketing tools in Singapore and China;
- Liaising with IT and accountant providers; negotiating with the Company's suppliers/third parties advantageous terms/Budgeting annually and updating quarterly.
**Requirements**:
- Minimum 5 years of relevant experience at an executive level with senior management in an international environment;
- Excellent command of English, verbal and written. Good command of another language such as French, German, Spanish, italian or Chinese will be an advantage to liaise with international clients and partners,
- Excellent editor of documents for marketing collaterals (brochures, printed collateral, websites, pitches, biographies, etc);
- Track records of closing partnerships with various organisations like chamber of commerce, legal and accounting organisations, schools, etc.
- Excellent command of Excel, Word, Powerpoint and software like Bill4time, NetDocuments, Evernote, Zoho, SocialSprout, Linkedin;
- Fast reader, able to process information and material quickly;
- Able to work independently and under pressure;
- Clear understanding of deadlines, reliability and accountability in a fast pace environment;
- Very organized and efficient, able to prioritise;
- Detail and result oriented. Precision is key in a law firm;
- Self-motivated individual with initiative and drive;
- Creative to deal with marketing collaterals/business offerings to the company's business partners;
- Ability to memorise facts and information.
