Operations Assistant (Fire Protection Company) – Job Scope
Key Responsibilities
1. Scheduling & Coordination
• Plan and schedule daily/weekly work for technicians and project teams.
• Coordinate service, maintenance, and installation appointments with clients.
• Monitor job progress and update management on work status.
2. Administration & Documentation
• Prepare service reports, quotations, and job completion forms.
• Maintain accurate records of client contracts, equipment, and service history.
• Handle filing, data entry, and system updates related to operations.
3. Re-contract & Client Support
• Track contract expiry dates and prepare re-contract/renewal documents.
• Liaise with clients for contract renewals and follow up on confirmation.
• Support sales/admin team in preparing proposals for recurring maintenance contracts.
4. Operational Support
• Assist in procurement of materials and coordination with suppliers.
• Ensure compliance with company procedures, safety standards, and regulatory requirements.
• Provide administrative support to Operations Manager and team as required.
5. Communication & Customer Service
• Handle client enquiries and coordinate with internal teams for timely responses.
• Assist in preparing monthly/weekly operational reports for management review.
• Support customer satisfaction initiatives by ensuring smooth scheduling and follow-ups.
