Job Scope:

Shipping Admin Assistant / Executive

  • Handle day-to-day shipping operations (import/export/transshipment)
  • Managing and coordinating all shipping operations, ensuring timely and accurate handling of import/export activities
  • Handle billing, cost verification, and coordination with finance for payment matters
  • Coordinate import/export activities, including booking, freight forwarding, and customs clearance.
  • Track and monitor shipments to ensure on-time delivery.
  • Prepare and review shipping documents (Invoice, Packing List, BL/AWB, COO, permits).
  • Follow up with suppliers, forwarders, and factories on cargo readiness and delivery schedules.
  • Support quality control by checking shipping conditions, packaging, and SOP compliance.

  • Assist with cost control, freight quotation comparison, and vendor negotiations.

  • Handle daily office administration: data entry, filing, and document management.

  • Maintain trackers and reports for shipment status, vendor performance, and cost analysis.
  • Provide ad-hoc administrative support to shipping managers and management team.

Logistics Admin Assistant / Executive

  • Process and manage customer orders end-to-end
  • Coordinate with freight agents, transporters, and carriers
  • Update and maintain inventory movement using WMS (Warehouse Management System)
  • Billing based on customer jobs from system module
  • Good client relationships through prompt and professional communication
  • General logistics and administrative support as requirement

Job Requirements:

  • Diploma / Degree in Supply Chain, Logistics, Business, or related field.
  • Familiarity with import/export procedures and shipping documentation.
  • Knowledge of freight/logistics operations and documentation is essential
  • Permit declaration (TradeNet) certification is mandatory, custom clearance, can issue import/export permit.
