Purchasing administrators prepare purchase orders and send order requests to suppliers. Update records and follow up with vendors to check if the order is being processed

**Responsibilities**:

- Review purchase orders to ascertain accuracy and conformity with quote
- Organize and coordinate procurement activities for supplier, material and equipment
- Manage supplier delivery schedules and effectively establish and maintain delivery dates for proper inventory control
- Liaise with freight forwarder for overseas shipment
- Logistic arrangement for collection of goods from local supplier
- Coordinate with warehouse department for all incoming goods deliver to warehouse
- Assist in resolving problems with purchases or services, discusses defective or unacceptable goods/services with users, vendors, or inspectors to determine the source of the problem and the appropriate corrective action.
- Assist in the co-ordination with third parties including contractors and vendors
- Matching supplier invoice & delivery orders/service report against purchases orders
- Prepare of monthly outstanding PO report for management review
- Carrying out administrative tasks such as data input, processing information, completing paperwork and filing documents
- Adhere to purchasing policies, processes, and procedures
- Answering phone calls from customers/suppliers
- Involve in quarterly stock take
- Involve in internal audit

**Requirements**:

- 'A', 'O' level or ITE Certificate
- Minimum 3 years admin experience
- Multi-tasker, pro-active and able to work within deadlines
- Independent and also a team player
- Able to prioritise
- Good communication and interpersonal skills
