Receptionist & Office Administrator

An exciting new opportunity exists for an experienced and committed Receptionist and Office Administrator to join a young and vibrant organization.
Key Responsibilities:
- Manage the reception area and greet visitors
- Maintain an updated telephone list, answer telephone calls to the main line and redirect calls to the relevant parties
- Pre-registering guests for in-office events, and assisting with company-wide event organization which includes supporting in office events with set up matters
- Source and negotiate on terms and rates with office suppliers and vendors. Timely ordering of office stationery and office pantry supplies.
- Support the Facilities/Office Manager in ensuring the maintenance(includes the outsourced vendor and cleaners) and upkeep of the overall office environment
- Arrange for courier services and handle all incoming and outgoing correspondences
- Liaise with building maintenance on facilities matters
- Provide support on administrative matters such as the internal submission of invoices and purchase requisitions, pantry administration and managing First Aider registration and the Nursing Room
- Manage the operation and maintenance of in-office lockers
- Support Facilities Manager during the bi-annual fire drill as well as annual shutdown on weekend
- Any other administrative duties as required
Qualifications/Requirements:
- Applicants with 3-5 years of experience in Office Administration and Reception duties preferred
- Good communication skills and interpersonal skills, as well as comfort level in working effectively with people at various organizational levels
- Ability to take ownership and accountability of assigned projects, paying attention to detail and quality of output
- Highly organized, proactive and professional
- Positive “can-do” attitude, with resilience and stamina to execute amidst ambiguity
- Proficient in MS Office Applications
- Fluent in English and a 2nd language
