**Job Summary**

The VPC works with the team to implement programmes planned and organized for the IJHCC group. You will support the Programmes and Services Department to ensure successful implementation of the programmes and services

You will be involved in gathering data, outcomes and feedback needed to evaluate the programmes and activities. You will also work together with the Programme and Services Manager, on volunteer management and managing the donations received by the IJHCC.

**Role and Responsibilities
**1. **Support the implementation and administration of programmes, activities and services**
- Ensure that the resources/materials for the programmes are sufficient for smooth operations
- Provide administrative support the programmes where necessary
- Liaise with the relevant staff such as Centre Managers, counselors/social workers to update assessment of needs and monitor progress of beneficiaries
- Prepare programme reports and update your reporting manager on progress, observations and recommendations
- Ensure appropriate reimbursement/payment is made to instructors where applicable
- Other Duties: As assigned by the Programme and Services Manager

**2. **Volunteer management**
- Attend to all potential volunteers and identify projects where their skills and passion will serve our needs
- Take charge of the volunteer management system to ensure processes such as recruitment, selection, orientation and deployment
- Work with NVPC and management to develop a robust volunteer management system to track database, volunteer deployment, projects undertaken and maintain sustainable volunteer relationships.
- Sourcing for suitable volunteers for identified programmes and services
- Initial screening of volunteers and proposed activities to assess for suitability
- Updating and obtaining approval from Programmes and Services Manager on suitability of volunteer proposed programmes and services
- Liaising and coordinating with relevant staff when volunteer-run activities are involved
- Ensure volunteers are registered, and conduct volunteer orientation and training
- Ensure volunteer supervision is adequate, and that volunteers conduct themselves appropriately
- Coordination, scheduling of monthly volunteer activities and tracking of volunteer attendance, and maintenance of sign in/ sign out records
- Ensure records and photographs of beneficiaries’ progress in activities and programmes are maintained where relevant
- Collecting feedback and assessment of volunteer run activities and programmes
- Check and prepare or endorse any documentation required from volunteers. E.g. students’ community service project documentation requirements.
- Recording and maintaining all volunteer related documentation and databases.

**3. **Attending to administration and distribution of Donations-in-kind**
- Attending to donations-in-kind enquiries and offers ( _Excluding cash donations i.e. cash, cheques, money orders, vouchers) _
- Prompt screening and response of donations-in-kind offers for suitability and need
- Overseeing donations-in-kind receipt and acknowledgement
- Arranging the donations for distribution to the relevant beneficiaries
- Sending of thank you acknowledgement to the donor and preparation of any documentation required for donor
- Maintenance of Donation-In-Kind database and files
- Liaise with Financial/ Admin Department when needed

**4. **Other Duties**

All other duties as assigned by the Programme and Services Manager or/ and General Manager

**Pre-requisites**

Diploma in a related field. New university graduates are also welcome to apply

At least 1 year of experience, preferably in a not-for-profit environment
