**B. OVERALL JOB SCOPE & RESPONSIBILITIES**
**Role & Responsibilities**

The OFFICE AND OPERATIONS EXECUTIVE/MANAGER reports to the CEO/COO and is responsible for organizational and operational effectiveness and efficiency. The role involves setting up and optimizing of office and business processes/workflow to achieve internal and external customers satisfaction.

**Specific tasks include**:
**Administrative/Office Management**
- Responsible for managing office services by ensuring office operations and procedures are organized, correspondences are controlled, filing systems are designed, supply requisitions are reviewed and approved, and that clerical functions are properly assigned and monitored
- Ensure office efficiency, developing and implementing office policies, setting up procedures and standards to guide the operation of the office
- Human resource administration & management
- Coordinate office staff activities to ensure maximum efficiency
- Design, implement, maintain filing systems & establish and monitor procedures for record-keeping to ensure security, integrity, and confidentiality of data
- Participate actively in the planning and execution of company events
- Design, implement and ensure adherence to office policies and procedures
- Facility maintenance (stocking, office equipment, furniture, supplies)
- Office Vendor management (real estate, security/access systems, F&B, cleaning)

**_Business Process_**
- Work closely across departments to ensure alignment and development of efficient and effective processes in line with business objectives; Coordinate business process improvement with internal stakeholders
- Document current workflows, business processes and SOPs
- Lead interface for sales with marketing, production, quality, logistics and other internal functions to ensure timely fulfilment of customers’ orders
- Process orders and generate invoices in XERO
- Check data accuracy in orders and invoices
- Contact clients to obtain missing information or answer queries

**C. DESIRED CANDIDATE PROFILE**

**Academic Qualifications & Experience**
- Bachelor’s degree in Business Management/Administration and related field.
- Familiarity with office management procedures with at least three years of experience in office admin management. Working experience in a fast-growing start-up or SME environment is a strong advantage.
- Experience in coordinating and fulfilment of business orders is a strong advantage.
- Knowledge of Xero accounting system is a strong advantage.

**Skills and Experience**
- A resourceful, self-driven individual who thrive in a dynamic fast-paced environment.
- An experienced administrator, with solid organizational skills capable of multiple tasking and prioritising tasks amidst competing work demand.
- A Team player with strong interpersonal and collaborative skills, with proven ability to work in cross functional matrix team
- Has Excellent IT and computer skills, including a high degree of proficiency in Microsoft Word, Excel, Outlook, and PowerPoint.
- Legally allowed to work in Singapore without a special VISA.

**Job Types**: Full-time, Permanent

**Salary**: $3,500.00 - $4,000.00 per month
