Job Summary:
The Assistant Manager, General Administration & Procurement plays a key role in supporting procurement operations, vendor management, and administrative tasks within an electronics distribution company. This role also involves sourcing suppliers, negotiating contracts, managing inventory levels, and ensuring smooth procurement and administrative processes to support business operations.
Key Responsibilities
Office Management
Assist in overseeing office operations and administrative staff.
Ensure compliance with company policies and procedures.
Oversee office supplies, inventory control, equipment, and facilities.
Coordinate with vendors and service providers.
Handle office budgets and expenses.
Assist in training of administrative staff.
Act as a liaison between departments and management and ensure smooth internal and external communication.
Maintain legal documents, certifications, and audit records.
Support regulatory inspections and quality assurance teams.
Ensure adherence to workplace health and safety standards.
Assist in identifying, evaluating, and negotiating with suppliers for office supplies, equipment and other operational needs.
Maintain relationships with vendors, ensuring timely delivery and quality compliance.
Monitor procurement budgets and cost-saving initiatives.
Process purchase orders (POs), invoices, and supplier contracts.
Maintain accurate procurement records.
Manage expense reports, budget tracking, and procurement-related approvals.
Ensure procurement activities comply with company policies and industry regulations (e.g., ISO).
Maintain contracts, purchase records, and supplier documentation.
Assist in regulatory audits related to procurement and vendor management.
Administrative Support
Support senior management with administrative tasks as required.
Organize meetings, GA related reports consolidation and maintain records.
Support strategic initiatives and process improvements related to procurement, administration, and facilities management.
Any other assignment tasked by the Manager.
Required Skills & Qualifications
A Diploma or Degree qualification in Business Administration, Management, or a related field.
8+ years of experience in Administrative or office management roles.
Experience working in an electronics manufacturing or trading company is highly advantageous but not a must.
Strong understanding of procurement processes, supplier management, and negotiation strategies.
Strong organizational, multitasking, and problem-solving skills.
Excellent verbal and written communication.
Ability to work independently and manage multiple priorities.
Familiarity with SAP used in procurement, inventory and administration is an advantage.
Proficiency in MS Office (Word, Excel, PowerPoint) and administrative software.
