Overview Receptionist and Facility Support at Jacobs. This position supports the day-to-day operations of facilities services and activities, including reception services, general facility operations, and maintenance. Responsibilities Reception Services: Answer and appropriately direct incoming calls; greet visitors and direct to appropriate individuals; complete visitor management tasks including review of Office Safety Induction Presentation; maintain sign in/out for guests and visitors; manage access badges; assist with building or suite access control; maintain neat and organized front office; manage conference room use and schedules; assist with meeting setup and provisioning of food and equipment; handle mail processing and tracking; support special requests for mail, packages, and shipping; ensure compliance with related legislation. Maintenance: Respond to facility maintenance or repair requests; ensure routine building and equipment service is completed; maintain equipment manuals and logs. General Facility Support: Purchase and stock office supplies; follow standard supply and cost charging guidelines; respond to internal facility service requests and coordinate with property management or external providers; assist with facility management tasks, safety, health, security, and environmental duties; support sustainability goals; manage Jacobs identification badges and access cards; maintain floor plans and office information; assist with office utilization tracking and projects such as renovations or moves; support internal furniture moves and installations; serve as backup to Facility Lead and cross-train with teammates as appropriate; provide other support to Real Estate Operations as needed. Key Relationships Facility Lead Office Employees Visitors and Guests Key Performance Indicators Responsibilities are completed properly and any issues are resolved quickly and efficiently. Proven dependability and punctual attendance. Positive feedback from employees and visitors. Demonstrates ability to use resources and tools appropriately; able to assist in an emergency situation. What you’ll need Minimum GCE O-level with 5 years of similar experience. On-the-job training will be provided for certain tasks.
