Role Overview:
The selected candidate will provide comprehensive support to the President and the Management Team within the APAC region and SBU Industry Applications. This role involves extensive calendar management, administrative assistance, and project/event coordination.
Key Responsibilities:
- Proactively manage the complex calendars of the President and Management Team, adapting to shifting priorities and scheduling needs across various time zones.
- Coordinate logistics for management reviews, meetings, and travel arrangements as necessary.
- Assist with various projects, communications, and preparation of meeting materials, including templates and presentations.
- Oversee intricate travel logistics for both domestic and international trips, ensuring all aspects such as transportation, accommodation, and dining are meticulously arranged.
- Organize and maintain documents for easy access and sharing, utilizing platforms like MS Teams or SharePoint.
- Prepare and submit expense reports for the President as required.
- Manage vendor relationships to ensure seamless execution of events and activities.
- Uphold confidentiality and professionalism in handling sensitive information.
- Facilitate smooth office operations and manage administrative tasks efficiently.
- Compile and distribute presentation materials for monthly and quarterly meetings, adhering to deadlines.
- Document meeting minutes and follow up on action items as necessary.
- Perform additional office duties and personal tasks as assigned.
Candidate Profile:
- A degree in Business Administration or a related field, with a minimum of 5 years of experience in a similar role within a multinational corporation.
- Proven experience in engaging with senior management and various stakeholders.
- Exceptional attention to detail, strong organizational skills, and critical thinking abilities.
- Able to work independently in a fast-paced environment, managing multiple tasks under tight deadlines while remaining adaptable to changing priorities.
- Experience handling confidential information with a high degree of discretion.
- Excellent verbal and written communication skills, with the ability to collaborate effectively with diverse personalities.
- Exhibits a positive attitude and professional demeanor.
- A self-starter with the capability to work autonomously and manage upward.
- A collaborative team player who is motivated and energetic.
- Technologically proficient, particularly in Microsoft Office Suite (Word, Excel, PowerPoint), with knowledge of Power Query and Power BI being a plus.
