Key Responsibilities:

As a Senior Administrative Coordinator at Veolia Water Technologies & Solutions Singapore Pte. Ltd., you will manage the Executive Vice President's (EVP) calendar, including scheduling appointments, meetings, and travel itineraries. You will coordinate timing and logistics for all meetings, ensuring the EVP's schedule is optimized for efficiency.

You will act as a point of contact between the EVP and clients, and other external partners. You will manage correspondence and communications, including emails and phone calls. You will prepare and edit presentations per the EVP's request, assist with the creation of graphical and textual content for presentations and communications.

You will arrange travel and accommodations for global visitors, prepare detailed itineraries, and ensure they are up to date. Additionally, you will be responsible for general office administration, ensuring office equipment are properly maintained and supplies are well stocked.

You will maintain and ensure the upkeep of facilities, ensure compliance to government and company safety regulations, and assist in facilities / office related projects such as office moves/renovations. You will manage external stakeholders such as visitors, cleaning and facilities contractors, and vendors. You will perform the role of the Safe Management Officer for the main office and handle admin purchase orders and invoices.

You will also act as the company's Corppass admin and assist in company events by performing tasks including assisting in the travels, registration, catering, and information dissemination. You will provide general administrative and clerical support, including assisting with board matters, contracts, notary and apostille.

Requirements:

The ideal candidate will have a minimum Diploma in Business Administration or a related course and at least 8-10 years of relevant working experience. French speaking is essential to liaise with French speaking guests. A team player with leadership skills is required, along with proficiency in regular used Office applications (Word, Excel, PowerPoint, Outlook)

Excellent verbal and written communication skills, strong time management and the ability to prioritize tasks are necessary. Flexibility to adapt to changing priorities and job duties is also required. A professional demeanor and the ability to work well with all levels of management and staff as well as outside clients and vendors is essential. Strong analytical and problem-solving skills are also required.
