This role is responsible for overseeing the day-to-day operations of our Singapore and Indonesia offices, ensuring seamless execution of office systems, space, and safety measures. The ideal candidate will have experience in managing office facilities, front desk operations, and employee engagement initiatives.

Key Responsibilities

  • Manage office facilities and front desk operations to ensure smooth day-to-day office operations support for Singapore and Indonesia offices
  • Maintain office efficiency by planning and implementing office systems, space & safety measures, and overseeing equipment procurement
  • Collaborate closely with the Finance team on payment preparation, inventory control, and budgeting for office operations
  • Establish and enforce office policies and procedures, monitor standards, and recommend improvements to enhance efficiency
  • Generate reports and analyses on office operations and employee engagement initiatives to drive continuous improvement
  • Support the implementation of employee engagement initiatives to uphold high employee morale
  • Proactively liaise with the local People & Culture team to facilitate seamless employee onboarding and offboarding processes
  • Facilitate business travel bookings for employees and review/approve expense claims in accordance with company policies
  • Provide innovative insights and suggestions for streamlining and improving office operations and engagement activities
  • Participate in other People & Culture initiatives and assume additional office operations duties as needed

Requirements

  • At least three years of experience in office administration or employee engagement is required.
  • Demonstrates strong stakeholder management abilities to effectively communicate with internal and external parties.
  • Proficient in problem-solving and resourceful in finding solutions to achieve desired outcomes.
  • A constructive thinker who can articulate the purpose behind tasks and initiatives, and offers suggestions for improvement beyond daily responsibilities.
  • Highly collaborative with an entrepreneurial mindset and willingness to take a hands-on approach.
