Administrative Coordinator for Charity Operations

Job Description:
The Administrative Coordinator will play a vital role in supporting the efficient operation of K9Assistance (Limited) by performing a range of administrative tasks.
Key Responsibilities:
- Administrative Support: Provide support to the Executive Director, including scheduling appointments, maintaining calendars, and handling correspondence.
- Document Management: Organize, file, and maintain physical and electronic records, ensuring documentation is up-to-date.
- Data Entry: Input data into databases and spreadsheets with accuracy and confidentiality, including procuring signatures for Board minutes, HR administration tasks, staff claims, donor receipts, and grant figures.
- Government Submissions: Ensure K9Assistance remains registered as a charity and develops its status as an Institute of Public Character by preparing submissions to government authorities.
- Inventory Management: Monitor office supplies and reorder materials as necessary.
- Project Coordination: Assist in coordinating projects, outreach events, and fundraising activities.
Qualifications and Skills:
- Education: O' levels or equivalent; additional qualifications in administration are beneficial.
- Experience: Previous experience in an administrative role is preferred.
- Skills: Proficient in Microsoft Office Suite, strong organizational and multitasking abilities, excellent written and verbal communication skills, finance/accountancy knowledge, and problem-solving skills.
Working Hours: Standard hours are 9am-6pm, Monday to Friday, with occasional evening or weekend events to attend. Time-in-lieu (TIL) will be required for working outside standard hours.
