Job Summary

We are seeking a highly organized and reliable individual to join our team as an Admin Executive. This role is responsible for coordinating daily activities, maintaining accurate records, and ensuring seamless administrative operations in our workshop. The ideal candidate will have excellent communication skills, proficiency in MS packages, and experience with data organization and storage.

Responsibilities
  • Coordinate daily attendance and leaves of employees, reporting to HR.
  • Maintain up-to-date records of employees on MC/Leave/Training/Travelling/meeting.
  • Orchestrate events and coordinate arrangements throughout the year.
  • Manage local purchases and inventory of workshop materials.
  • Ensure admin work, including House Keeping, Security, Pest Control, CCTV, maintenance of AC & other office equipment's, Water dispenser, Stationery, Dispatch, Pantry & other Vendors.
  • Monitor internet, telephone, and mobile services connectivity.
  • Liaise with cleaning company and TOLL management office.
  • Liaise with local IT supplier and HQ IT TEAM on internet issues.
  • Liaise with Insurance on Medical claims.
  • Ensure office Safety (Alarm system).
  • Create Purchase orders for workshop consumables.
  • Manage Travel Desk (flight Ticket, Hotel accommodation, Visas, etc.).
  • Broadcast office-related news from unique groups and Circular memos from management Office (TOLL).
  • Assist Account with petty cash/Advance cash if required.
  • Order gas for forklift use and Hire of crane and forklift from TOLL.
  • Purchase office goods online (e.g., furniture, stamps). Maintain asset records for laptops, handphones, monitors, Desktops, Dongles, sim cards, printers, cupboards, chairs, tables, and pantry equipment.
  • Perform good housekeeping practices in all areas.
  • Data Entry in D365 System related to Admin work.
  • Complete ad-hoc tasks assigned by management.
Requirements
  • Highly organized and able to work well in fast-paced environments.
  • Familiarity with Customs requirements and relevant document control.
  • Exceptional communication skills and ability to multitask effectively.
  • Reliable, systematic, comprehensive, and attention to detail.
  • Proficient in MS packages and D365 systems.
  • Data organization and storage knowledge.
  • Impeccable telephone etiquette.
  • A positive 'can-do' attitude.
  • Excellent communication skills, written and oral, especially in English.
  • Ability to work in a team.
What You'll Get
