Job Summary

We are seeking a highly organized and detail-oriented Operations Support Executive to join our team. The successful candidate will provide administrative support to our Retail Operations teams, ensuring smooth day-to-day operations.

Key Responsibilities
  • **Administrative Support:** Provide administrative support to Operations Management and Sales teams to ensure smooth day-to-day retail operations.
  • **Inventory Management:** Support regular stock take as planned by Management to meet Licensing requirements.
  • **New Store Support:** Provide administrative support in new stores opening and closing, new products launches and events.
  • **BOH Standards:** Ensure implementation of standards for Back of House (BOH), ensuring organization, general health and safety best practices are adhered to for all stores.
  • **Vendor Management:** Act as a liaison to process and update Brand Ambassadors details, not limited to rostering consolidation & sales data sharing to Agencies. Maintain positive relationships with external vendors & agencies.
  • **Airport Passes:** Apply for Airport passes for Vendors & external parties.
  • **Inventory Supplies:** Manage and upkeep inventory supplies to support Operations, such as sourcing and ordering of stationery, packing materials, equipment, and all other ad hoc operations necessities.
  • **Process Improvement:** Identify improvement opportunities and communicate suggestions to management to drive operational & cost efficiency.
  • **Contract Management:** Responsible for managing relationships with external vendors and suppliers, ensuring that they meet contractual obligations and quality standards.
  • **Internal Stakeholder Management:** Work with other internal stakeholders and legal department to ensure contractual obligations are met to the best interest of the Organization.
  • **Process Optimization:** Review existing processes, identifying inefficiencies and suggesting improvements to manage and optimize company's processes.
  • **Operational Permit Clearance:** Responsible to take charge of all operational permit clearance and renewal for smooth operations.
  • **Administrative Matters:** Ensure all administrative matters, not limited to invoices & payments, are made before deadlines.
  • **Operations Meetings:** Schedule operations meetings, send invites, and facilitate booking of venues.
  • **Reporting:** Compile reports and presentations for internal meetings.
  • **Team Collaboration:** Collaborate productively and respectfully with team members.
  • **Company Standards:** Adhere to company retail standards, operation procedure, customs compliance, and related policy.
  • **Ad-Hoc Assignments:** Perform any other ad-hoc assignments assigned by Managers to meet the organization & business needs.
Requirements
  • **Education:** Diploma / Degree in relevant discipline.
  • **Experience:** 2-3 years related Operations Administrative experience from FMCG Retail / Travel Retail industry.
  • **Skills:** Competent in Microsoft Office Suites and proficiency in Excel (Formula, Pivot Table, Power Pivot, Data Management, PowerPoint for presentation, and Power BI for Data presentation).
  • **Ability to Create Templates:** Must have the ability to create templates from scratch.
  • **Adaptability:** Adaptability is paramount. Requires an innate ability to navigate & take on new situations and challenges with agility & accuracy.
