About the Role

At TMC Academy PTE. LTD., we are seeking a highly organized and detail-oriented Student Services Administrator to join our team.

Job Description
  • Key Responsibilities:
    • Provide exceptional customer service at the student reception counter, handling enquiries and directing them to relevant departments.
    • Answer phone calls and respond to walk-in customers, parents, and guardians in a timely and professional manner.
    • Ensure teaching schedules in the portal are accurate and up-to-date, making adjustments as needed for relief teachers.
    • Attend to students reporting for classes, ensuring a smooth transition.
    • Liaise with the finance department to facilitate payment of study materials.
    • Collaborate with other departments to resolve student issues efficiently.
    • Prepare documentation for student movement, withdrawal, and transfer processes.
    • Work closely with relevant departments to ensure seamless student transitions.
    • Handle student-related matters, including leave applications, medical leave, fees collection, placement tests, and enquiries.
    • Arrange placement tests and coordinate with teachers on marking and follow-up actions.
    • Organize counselling sessions and prepare warning letters when necessary.
    • Liaise with teachers on student progress reports.
    • Coordinate parent-teacher meetings.
    • Participate in meetings and review executive KPIs and performance.
    • Collaborate with the Head of Department (HOD) to review departmental Operating Procedures.
    • Resolve service recovery and customer-related issues.
    • Assist in internal assessments and audits.

Requirements:

  • A minimum of 1 year of administrative experience.
  • Excellent written and spoken English and Chinese communication skills.
  • Ability to work shifts, think on your feet, and prioritize tasks effectively.
  • Good organizational skills, attention to detail, and ability to work under pressure.
  • Demonstrated initiative-taking abilities and willingness to learn.
  • Familiarity with Microsoft Office applications.
