Job Summary:

We are seeking a highly skilled and experienced Facilities Admin Officer to join our team at Savills. The successful candidate will be responsible for effectively communicating with internal stakeholders, overseeing subcontractors, and managing the fault reporting system.

Key Responsibilities:

  • Communicate effectively with internal stakeholders, including executive management, internal business units, clients, and external supplier partners.
  • Oversee the appointed subcontractors in maintenance and management of properties, assigning maintenance work and updating status in the system.
  • Manage the fault reporting system, implementing preventive and corrective programs, and ensuring timely completion of tasks.
  • Implement preventive, corrective programs, and defects liability management program (DLP) as required.
  • Manage security and safety matters, including faults, breakdowns, malfunctions, and irregularities.
  • Ensure all requests, queries, feedback, and complaints are dealt with in a timely manner, prioritized according to urgency, and the requestors are kept informed and updated.
  • Log all requests, queries, feedback, and complaints in the Facilities Management and Fault Reporting Tracking System, and escalate/convey/communicate such requests to the Site Lead, relevant contractors, and authorized representatives.
  • Responsible for space management, including lockers, and details of new occupancy updates as required.
  • Assist the Site Lead in generating weekly/monthly print-out reports, including consolidation of data and information, filing, and indexing of Service Reports and Log Sheets.
  • Perform any other duties as assigned.

Requirements:

  • Diploma in Building/ Facilities Management/ Building Services/ Engineering from a recognized institute of higher learning.
  • Certificate in Fire Safety Manager Course by the Civil Defense Academy or equivalent is preferred.
