About the company

Headquartered in Raffles Place, our client operates in the financial sector and is seeking a team admin to support the senior and junior members of the private capital team. Reporting directly to the Managing Director and the global team, this role offers the chance to engage with internal stakeholders from different countries.

About the role

The responsibilities of this position will include:

- Client Management

  • Organizing and coordinating internal and external client events
  • Managing yearly marketing campaigns for clients in Southeast Asia alongside the Marketing team in Hong Kong. Overseeing marketing expenses for the Southeast Asia platform
  • Sourcing and coordinating annual orders for corporate clients of Sales teams (Chinese New Year, Mooncake Festival, Christmas, SG Diaries, Staff's Diaries, Reports). Supporting Marketing and Client Service teams in client communications
  • Handling dining reservations for client entertainment
  • Assisting in fulfilling bespoke client requests on a daily basis

- Supporting BMOs & Heads in the South Asia region

Managing diaries for desk Heads

Planning and arranging travel, including flights, hotels, airport pick-ups, and visa applications

Managing team expenses and processing invoices according to internal guidelines

Monitoring Travel approvals, particularly for restricted countries

Organizing meetings (video/audio conferences, client meetings, interviews, agendas for overseas visitors)

Handling incoming and outgoing mails

- Reporting & governance

  • Overseeing office supplies and equipment
  • Collaborating closely with BL managers and other PAs globally and in the region

Ensuring a consistent approach across different locations

- Control and supervision

Enforcing Front office policies (Travel, Gift, Meals & Events)

Offering guidance to Front office staff as needed

Conducting regular Permanent Supervision checks for compliance

Investigating and reporting policy violations

  • Experience in a secretarial and administrative role in a corporate setting to thrive in our dynamic team
  • Initiative, self-motivation, attention to detail, and meticulousness
  • A proactive and responsible approach
  • Strong multitasking abilities, effective under pressure, and excellent prioritization skills
  • Professional demeanor, approachability, and outstanding written and verbal communication abilities
  • Proficiency in Microsoft Outlook, Word, PowerPoint, and Excel
