Now, we’re looking for a tech-savvy, resourceful Office Executive/Manager to take charge of our office operations, streamline workflows with smart tools, and keep everything running smoothly behind the scenes.

Financial & Tender Support – Track payables/receivables, assist in financial coordination, and support tender submissions when needed.
Own Office Operations – Manage all aspects of daily office administration, ensuring efficiency and smooth workflows.
Optimize Processes with AI & Digital Tools – Identify and implement tech solutions to automate operations (inventory, procurement, financial tracking, etc.).
Coordinate Shipping & Logistics – Work with freight forwarders to arrange goods collection, deliveries, and shipments, ensuring on-time supply.
Keep Track of Inventory & Procurement – Manage stock levels and coordinate reordering as needed.
Manage Financial Transactions – Oversee payables and receivables, keeping financial records organized for the external accountant.
Support Tender Participation – Assist in document preparation and vendor coordination for tender submissions (experience in scientific tenders is a plus but not required).
Handle Ad-Hoc Tasks – From assisting overseas guests with accommodation & transport to supporting company events, you’ll be the go-to person for operations.

✅ Logistics & Shipping Know-How – You understand basic shipping terms (Incoterms) and can coordinate with freight forwarders.
✅ A Self-Starter – You take initiative, solve problems, and keep things moving without waiting for instructions.
✅ Great with Numbers – Managing invoices, payables, and receivables comes naturally to you.
Education & Background:
- Diploma or Degree in preferably with the background of medical, scientific or equivalent, or related fields (or equivalent experience).
- No prior office management, procurement, or operations experience required—career switchers are welcome
- Experience in supporting scientific equipment companies in tenders is a plus, but not a must.
Skills & Tools:
- Familiarity with AI-driven business tools or willingness to learn.
- Strong Excel skills and experience with accounting/inventory software (preferred but not essential).
- Strong communication skills for liaising with suppliers, vendors, and internal teams.
