Qualifications

· Proven track record as an Administrative Assistant

· Demonstrates skills in supply management, communications, budget tracking, managing processes, developing standards, promotes process improvement, inventory control and reporting skills

· Proficiency in MS Office applications

· High school degree; additional qualification in business administration, accounting or business management is a plus

· Time management skills and ability to multi-task and prioritize work

· Strong communication and problem-solving skills

· Strong organizational and planning skills in a fast-paced environment

· Creative mind with ability to suggest improvements


Responsibilities

· Supports entire accounts payable process

· Overseas office maintenance and travel arrangements

· Processes purchase orders, shipping, completion of documentation for shipments

· Supports company operations by maintaining office services, organizing office operations and procedures

· Clerical functions

· Organise work spaces and order stationery and equipment

· Maintains work spaces conditions and arrange repairs and maintenance where necessary

· Ensures all suppliers/vendors invoices are processed and paid timely by reviewing purchase orders, delivery notes/reports and tax invoices.

· Manage contract and price negotiations with office vendors, service providers and leases

· Liaise with facility management vendors, including cleaning, catering and security services

· Helps to improve company procedures and day-to-day operations

· Provide general support to visitors

· Address employee queries regarding office management issues e.g. stationery, hardware, and internal procedures

· Reports directly to Senior Group Manager of RoviSys Asia’s Singapore HQ
