Job Description

Primary objectives of the position:

  • Responsible for the complete management of premises, as well as planning and implementing effective support strategies that meet the demands of the studio to enable a high performing culture.
  • Provide administration support to the Singapore studio Principal and Leadership group, and timely, professional, and responsive customer service to all Hassell staff and clients with consistent high-quality outputs.

      Key Activities:

  • Day to day management of operations and ensuring a collaborative team approach with excellent communication and customer service skills.
  • Manage the day to day functioning of the studio premises and various facilities.
  • Oversee the coordination of internal studio events / functions / catering requirements, with other Business Support staff and the Culture Collective group.
  • Support with travel and accommodation bookings for Hassell personnel through relevant suppliers as required.
  • Assist the Business Development team where necessary on proposals and awards submissions.
  • Manages studio operating expenses with support sought from local Studio Accountant including approval of purchase orders for studio expenditure (i.e. non-project related).
  • Completion of relevant elements for inclusion in the Regional Report which includes operational, project and non-project issues for the studio with input from Practice Leaders and business functions.
  • Chairs weekly leadership meeting and ensure actions are undertaken as required.
  • Assists the Managing Principal on studio tenancy issues including lease renewal, negotiations, security and any other tenancy requirements.
  • Support Professional Practice to ensure monthly reports are undertaken for all projects in the studio, by ensuring all reports have been submitted to Practice Leaders for review and action as applicable.

Qualifications

The following skills and experience are essential:

  • Excellent desktop publishing skills with Microsoft Office.
  • A strong commitment to provide excellence in client service.
  • At least 3 years’ experience in administrative support
  • Excellent attention to detail and time management
  • Ability to be a team player and collaborator.
  • Good written and verbal communication skills
  • Support other operations/administrative related assignments as needed.
  • Ability to use own initiative and perform duties under limited supervision.
  • The ability to communicate professionally with colleagues and others outside the firm.
