Summary:

The Marketing and Event Coordinator will collaborate closely with the Senior Event Planner to efficiently manage the coordination and execution of both in-person and virtual events for a prominent global law firm. We seek an enthusiastic candidate who is detail-oriented, possesses exceptional organizational skills, and thrives in a collaborative environment with internal and external stakeholders.

Responsibilities:

Assist in all aspects of event planning, including venue selection, equipment logistics, room setup, and on-site management. Cultivate and maintain relationships with vendors, venues, and industry contacts while overseeing all logistical aspects of event planning and coordination. Collaborate with internal staff, clients, and vendors to determine event requirements and objectives. Coordinate event logistics such as guest lists, venue preparations, presentation materials, catering, entertainment, transportation, equipment, and décor. Oversee on-site preparations, production, and event breakdown to ensure consistent, high-level service throughout all phases of event coordination. Manage end-to-end logistics for virtual events and webinars, including stakeholder communication, technical rehearsals, and post-event follow-up.

Requirements:

1-2 years of experience in supporting marketing operations and event coordination. Strong written and verbal communication skills. Proficiency with event coordination technology and relevant software. Familiarity with CRM databases, firm bio databases, or similar data collection systems used in marketing environments. Experience with Adobe and Microsoft Suite is preferred. Exceptional interpersonal skills and the ability to build positive relationships. Demonstrated ability to organize, prioritize, and coordinate multiple aspects of events effectively. Commitment to maintaining confidentiality and handling sensitive information with discretion. Ability to thrive under pressure and consistently deliver high-quality work. Capability to work productively and cooperatively within a team environment.
