**ROLES AND RESPONSIBILITIES
Operational duties in mailroom/counter:
- Sort and consolidate mails / parcels / newspapers according to divisions /
pigeonholes / levels / units / sites
- Deliver mail that require special handling to designated locations
- Check incoming mail for any suspicious characteristics and if the recipient is valid
- Receive and collect mail from letter box and/or postman / courier
- Place date / time stamp on incoming mail
- Record details of incoming and outgoing mail / parcels, including record of
valuable mail detail
- Frank, check and record outgoing mail
- Prepare franking docket, maintain franking statement and records
- Arrange and coordinate local and overseas courier services
- Coordinate despatch and collection of items to alternate site
Perform record keeping, accounting and reporting functions:
- Record meter reading on franking machine daily
- Balance the daily postage expenses at the end of each day
- Request for topping up of postage and facilitate topping up of franking machine
when required
- Record and maintain mail activity statistics (including number of incoming and
outgoing mails, franked mails, local and overseas couriers) daily
- Prepare aggregated report of statistics on monthly and yearly basis
- Maintain report of maintenance work / problems / issues / complaints
Perform administrative functions including:
- Manage the maintenance of equipment in mailroom (e.g. telephone / printer /
scanner / franking machine / weighing scale / date-time stamp machine, etc.)
- Assist with the setup and update of nameplates at workstations
- Manage the loaning of accessories such as projectors, cables and nameplates
- Switch off air-conditioners in boardroom at beginning/end of day when not in use.
- Handle and process requests for staff name cards
**REQUIREMENTS
- Minimum ‘O’ Level, Nitec, Higher Nitec or equivalent
- At least 2 years’ relevant working experience in an office environment performing
administrative duties
- Working experience in mailroom functions and/or front desk would be an advantage
